Are you ready for Verifactu? Find out about your new tax obligations

Content:

Do you still use Excel, Word templates, or invoicing software that hasn’t been updated in years? If so, you’re probably not ready for Verifactu — and starting in 2025, that could cost you fines of up to €50,000.

At InnoTaxes, we’re already helping our clients get ready before it becomes mandatory, because this isn’t just a technical change — it’s a complete shift in tax compliance culture.

What is Verifactu and why is everyone talking about it?

Verifactu is the new system that will require freelancers, companies, and professionals to issue invoices using software that communicates data to Spain’s tax agency in real-time or near real-time. It’s part of the Tax Agency’s digitalisation plan and has already been officially approved.

It is based on Spain’s Anti-Fraud Law (Law 11/2021) and was implemented through Royal Decree 1007/2023, published in the Official State Gazette (BOE) on December 6, 2023.

    What will change with Verifactu?

“One of our clients asked if they could keep invoicing with Excel in 2025. The answer is a clear no.”

    With Verifactu:

    • Each invoice must include a QR code and a digital fingerprint (hash)
    • Software must be certified by the Spanish Tax Agency
    • Invoices cannot be deleted or modified
    • Data must be sent automatically to the tax authorities

This applies whether you invoice individuals or businesses, and regardless of how often you issue invoices.

    Who is affected?

Verifactu isn’t just for big corporations. It applies to:

    • Freelancers (with or without employees)
    • Professionals (lawyers, doctors, consultants...)
    • Retail stores using POS systems
    • All types of companies
    • Independent service providers

Even if you only issue three invoices a year, you’ll be required to comply.

Official deadlines: When does it start?

Everything has been confirmed in the regulation. Here are the key dates:

Type of taxpayer Deadline to adapt
    Software providers July 29, 2025
Companies (Corporate Tax) January 1, 2026
Freelancers and individuals July 1, 2026

Official source: Royal Decree 1007/2023 – BOE

As of July 29, 2025, no software may be sold unless it complies with Verifactu.

What happens if you don’t comply?

    The consequences are serious:

    • Up to €50,000 per fiscal year for using non-compliant software
    • Fines per invoice issued outside the system
    • Risk of audits, loss of grants, and increased scrutiny

How do you know if your software is ready?

    Ask yourself these three questions:

    1. Does your invoicing software add QR codes and digital hashes to every invoice?
    2. Can it send invoice data to the Tax Agency in real time?
    3. Has your provider confirmed in writing that they are Verifactu-compliant?

If you answered "no" or "I don’t know", it’s time to take action.
